Reducing Time-to-Hire and Enhancing Efficiency to Support Autism Spectrum Disorder Initiatives

Problem Statement

Kerry’s Place Autism Services, a not-for-profit organization dedicated to supporting individuals with Autism Spectrum Disorder (ASD), faced significant challenges in its recruitment and screening processes. The time to hire reached a maximum of 173 days, with a complex procedure involving 78 steps. These inefficiencies hindered the organization’s ability to attract and onboard talent effectively and created inconsistencies across regions. To address these issues, Kerry’s Place partnered with PACE to streamline and enhance their recruitment framework, aiming to create a faster, more efficient, and consistent process. 

Goal

To transform Kerry’s Place’s recruitment and screening process by: 

  1. Reducing the time to hire from 173 days to 15 business days. 
  1. Simplifying the process steps from 78 to 38. 
  1. Eliminating inconsistencies to achieve 100% process uniformity across all regions. 
  1. Enhancing operational efficiency and resource utilization to support the organization’s mission effectively. 

Result

  1. Time Reduction: The time to hire was dramatically reduced from 173 days to 15 business days. 
  2. Process Simplification: The number of steps in the process was cut from 78 to 38. 
  3. Efficiency Gains:
    1. 400 hours per year saved through the simplification of the R2R process. 
    2. 350 hours per year saved by eliminating phone pre-screening. 
    3. 170 hours per year saved by automating interview scheduling through ADP.  
  4. Increased Staffing Capacity: Talent Acquisition Specialists were doubled from 2 to 4, with cost savings fully covering their salaries. 
  5. Consistency Achieved: Inconsistencies across regions were eliminated, achieving 100% uniformity in the recruitment process. 

Conclusion:

Through its collaboration with PACE, Kerry’s Place successfully addressed longstanding inefficiencies in its recruitment and screening processes. By achieving significant time and cost savings, the organization has enhanced its ability to attract and onboard talent quickly and consistently. This improvement aligns with Kerry’s Place’s commitment to innovation and excellence, allowing them to better support individuals with ASD and their families. The project underscores the importance of streamlined operations in fulfilling their mission and providing impactful community support. 

The current problem facing Kerry’s Place withrespect to the recruitment and screening process is that the time to hire takes too long, is inconsistent and involves too many steps.

Collecting data enabled the Steering Committee to understand what would indicate an improved state and began the conversation about the opportunities that would allow the reduction of the overall process.
