Role Overview
The Project Coordinator will serve as the cornerstone of our project execution, ensuring consultants and clients remain aligned, supported, and ahead of the curve. This role requires a proactive communicator, systems thinker, and adaptable team player who thrives in fast-paced, technology-driven environments.
The Project Coordinator’s primary responsibility is to support the consultant’s efforts in managing the flow of one or more projects from beginning to end. This includes task coordination, risk mitigation, process refinement, and ensuring client satisfaction. The ideal candidate is highly organized, tech-savvy, and eager to leverage new tools—including AI—to increase productivity, streamline communication, and optimize client outcomes. Occasional travel may be required.

Key Responsibilities
- Create and maintain client documents, reports, and presentations using productivity tools (e.g., Microsoft Office) and project management platforms (e.g., Wrike).
- Support Project Leads in building project work plans, tracking deliverables, and documenting project milestones.
- Coordinate logistics for internal and project stakeholder meetings, training sessions, and special events for consultants and clients.
- Maintain proactive communication with clients, ensuring their needs are met and satisfaction is consistently high.
- Actively identify and monitor project bottlenecks and risks, helping to escalate or resolve issues before they impact outcomes.
- Document meeting minutes and action items with exceptional accuracy and clarity.
- Leverage AI tools in accordance with company policy, to summarize materials, generate insights, and enhance efficiency in project documentation and reporting.
- Manage action item progress and updates and contribute to data organization for client projects.
- Support account development initiatives by pulling, tracking, and following up on identified opportunities.
- Continuously identify and recommend process improvements, cost-savings, and efficiency gains.
Qualifications
- Enthusiastic, proactive communicator with advanced critical thinking skills.
- Strong attention to detail and ability to thrive in structured, systems-driven environments.
- Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook, Visio) and familiarity with project management tools (Asana, monday.com, Wrike, etc.).
- Comfort using and learning digital platforms, facilitation software (e.g. Mural) and other enterprise tools.
- Experience leveraging AI for summarization, analysis, and productivity enhancement is a strong asset.
- Excellent time management skills with the ability to juggle multiple priorities.
- Keen eye for process improvement and a drive to proactively refine systems.
- Ability to capture and communicate meeting details with precision.
- Understanding of Lean principles and/or process management best practices.
- Team player with flexibility, creativity, and adaptability to support diverse needs.
- University or College graduate with education in project management or related fields.
- Bilingualism (FR) and/or graphic design ability are strong assets.
