Project Coordinator

Role Overview

The Project Coordinator supports the delivery of change management engagements, mainly within the mining sector by providing coordination, administrative, and analytical support across multiple client projects. 

The role contributes directly to delivery quality, consistency, and scalability by ensuring project activities are well-organized, documented, and executed on time. This position combines project coordination, administrative support, and foundational analytical work. 

Key Responsibilities

  • Coordinate project activities including scheduling meetings, managing calendars, and organizing logistics to keep projects on track 
  • Prepare and format client-ready presentation materials (primarily in PowerPoint) 
  • Maintain project documentation, trackers, and action logs to ensure alignment and follow-through 
  • Support process observation activities in both office and field environments using structured checklists 
  • Document and translate observations into clear outputs such as summaries or process maps 
  • Assist in identifying process or planning gaps through structured observation and documentation 
  • Support planning and scheduling activities by observing client processes and highlighting inefficiencies 
  • Organize and maintain project data, supporting basic analysis and reporting (primarily in Excel) 
  • Contribute to the development of reporting capabilities for the broader team over time 
  • Ensure consistency in the use of templates, tools, and documentation practices across projects

  • Project coordination activities run smoothly, with meetings, schedules, and deliverables consistently well-managed 
  • High-quality, client-ready materials are produced efficiently and with minimal rework 
  • Documentation and tracking tools are accurate, up to date, and reliable 
  • Field and process observations are clearly captured and translated into useful insights 
  • Early identification of gaps or inefficiencies in planning and operational processes 
  • The Director is able to focus on strategic work due to reduced administrative burden 
  • Reporting and data organization improve over time, supporting better decision-making across projects 
  • The role adapts effectively as project needs evolve, contributing to a scalable delivery model 

Required Qualifications

  • 3-5 years of experience in project coordination, administration, or a similar role 
  • Strong proficiency in Microsoft Office, particularly Excel and PowerPoint 
  • Proven ability to create clear, structured, and client-ready presentation materials 
  • Experience coordinating meetings, managing calendars, and tracking deliverables across multiple stakeholders 
  • Ability to observe and document processes, with experience creating structured outputs such as process maps or summaries 
  • Strong organizational skills with attention to detail and the ability to manage competing priorities 
  • Basic analytical skills, including experience organizing data and supporting reporting activities 
  • Strong communication skills and ability to work effectively with internal teams and clients 

Preferred Qualifications

  • Experience working in consulting, mining, or other operational/industrial environments 
  • Exposure to planning and scheduling processes 
  • Experience supporting fieldwork, site visits, or operational observations 
  • Familiarity with project tracking tools or structured documentation frameworks
